ASLA is a small team doing provincial-scale work to make sport in Alberta safe, welcoming, and well led. We currently have one open position.
Safe Sport Program Coordinator
Application deadline: Friday, October 30, 2026
Employment type: Full-time (1.0 FTE; 35 hours/week)
Location: Remote (Alberta-based)
Reports to: Executive Director
Works with: ASLA Safe Sport Sub-Committee; PSOs/MSOs; ABSSCM/ITPM provider
Overview
The Safe Sport Program Coordinator supports ASLA's Safe Sport Program (SSP), primarily by coordinating the Alberta Safe Sport Complaint Mechanism (ABSSCM). As a full-time role, the position combines the coordination and compliance work below with two growth priorities: expanding The Game Plan, ASLA's safe sport education series, and ensuring the ABSSCM is well understood and used by PSOs/MSOs as intended, not just adopted on paper.
Responsibilities include working with the Executive Director to assist Provincial Sport Organizations/Multi-Sport Organizations (PSOs/MSOs) with implementation, education, and reporting; coordinating stakeholders; tracking compliance; preparing reports for the Executive Director; translating monthly and quarterly program data into concrete follow-up actions; and ensuring resources and training are delivered on time.
The ideal candidate brings strong coordination skills, a service mindset with PSOs, and practical knowledge of safe sport standards, reporting mechanisms, and trauma-informed practices.
Key Responsibilities
1. ITPM & Safe Sport Program Coordination (Primary Focus)
- Serve as the operational point of contact for ASLA's ABSSCM provider.
- Maintain SOPs including but not limited to: policy updates (version control, approvals, and notifying PSOs); reporting (supporting the Executive Director in maintaining and reporting metrics); the Monthly Program Dashboard & ED Brief (a clear, consistent snapshot of program health); and Risk & Issue Log Management (a live view of program risks and issues with mitigation and follow-through).
- Develop service expectations and checklists related to the Independent Third Party Mechanism (ITPM) case management process and provisional measures (administrative oversight, not legal determination).
- Coordinate routine quality-assurance touchpoints with the ITPM provider; log issues, risks, and process improvements.
- Monitor how PSOs/MSOs use the ABSSCM against how it's intended (reporting pathways, escalation thresholds, provisional measures), and flag patterns of confusion or misuse to the Executive Director so they can be addressed through targeted education or communication.
2. Education, Training & Resources
- Coordinate education calendars and resources (e.g., onboarding modules, refreshers, role-specific sessions for coaches, officials, administrators, and boards).
- Lead coordination and growth of The Game Plan, ASLA's safe sport education series: expanding session topics, formats, and reach across PSOs/MSOs, and tracking participation growth cycle over cycle.
- Keep up-to-date registration lists, attendance, post-session feedback, and certificates; maintain a resource hub (FAQs, primers, quick guides, toolkits) and keep materials current.
- Support knowledge-transfer activities to community sport organizations where appropriate (in collaboration with PSOs/MSOs).
- Use PSO/MSO questions, ABSSCM usage patterns, and monthly data trends to identify education gaps and shape upcoming Game Plan sessions and training content.
3. Reporting & Analytics
- Compile monthly/quarterly program dashboards and Board/Committee packages.
- Maintain a running action log tied to each monthly dashboard and quarterly report, translating data trends (e.g., PSOs not engaging, recurring case types, education gaps, underused ABSSCM features) into specific follow-up actions, owners, and target dates, in coordination with the Executive Director.
- Report back each cycle on the status of previously identified action items, closing the loop between what the data showed and what was done about it.
- Coordinate annual summaries and lessons learned to inform program improvements.
4. Community Engagement & Partnerships
- Maintain positive relationships with PSOs/MSOs and sector partners; coordinate outreach sessions, office hours, and networking opportunities.
- Contribute to ASLA's communications (social media, notices, micro-learning pieces) that promote safe, welcoming sport.
5. Administrative & Organizational Support
- Provide day-to-day administrative support to the Executive Director, including scheduling, correspondence, meeting preparation, and document/file organization.
- Assist with general ASLA administrative needs beyond the Safe Sport Program as capacity allows: Board and committee meeting logistics, AGM preparation, and other organizational tasks as directed by the Executive Director.
- Manage program calendars, shared drives, and record-keeping in accordance with privacy and retention requirements.
Qualifications
Must-Have
- 3+ years of coordination, program administration, or compliance experience in sport, non-profit, education, or related public-sector settings.
- Working knowledge of safe sport standards and mechanisms (e.g., UCCMS/AB UCC, complaint/reporting pathways, screening, Rule of Two, interactions/travel policies).
- Demonstrated ability to coordinate multiple stakeholders and deadlines with diplomacy and discretion.
- Comfortable turning a dashboard or report into a concrete action list. This role owns the follow-through, not just the compiling.
- Strong time management skills.
- Strong writing, editing, and document-control skills (agendas, minutes, SOPs, dashboards, briefings).
- Proficient with spreadsheets and databases for tracking adoption/compliance and producing routine reports.
- Integrity and trauma-informed communication; knows duty-to-report concepts.
Nice-to-Have
- Experience supporting PSOs/MSOs or National Sport Organizations (NSOs); familiarity with Alberta's sport system and Sport, Physical Activity and Recreation (SPAR).
- Experience designing or growing a recurring education/training series (e.g., a webinar or workshop series).
- Exposure to ITP/ITPM operations (intake logistics, routing, service standards).
Education/Training
- Post-secondary credentials in sport management, public administration, social sciences, education, or comparable experience.
- Safe sport and trauma-informed practice training (or willingness to complete promptly upon hire).
Work Conditions
- Full-time remote role requiring daytime availability; periodic travel within Alberta for stakeholder meetings and training.
- Requires handling sensitive information with high confidentiality and professionalism.
Compensation & Term
- 1.0 FTE (35 hours/week). Salary commensurate with experience and ASLA's compensation framework. Eligible for benefits and vacation per ASLA policy.
- Target start date: to be confirmed.
